STANDARD TERMS & CONDITIONS

Please read the following Terms & Conditions carefully, as they define the rights and obligations of both you and CALM Adventure Tours. Together with the detailed information provided on our website, these terms form a binding agreement for your holiday or tour. We also encourage you to review our Privacy Policy and any additional materials relevant to your booking. Throughout this document, « you » and « your » refer to the main recipient of this invoice and any additional travelers included in the booking. CALM Adventure Tours, as a registered tour operator (N°: 017-MTA/SG/DGT/DAIT/SAT-EDBM.24), operates as “Madagascar travel experts,” with headquarters located at Lot: 0110 G 195 Antanambao Est Ivohitra, Antsirabe.

1. Privacy

At CALM Adventure Tours, we are committed to protecting your privacy. We only collect personal information necessary to provide the services you request. The data we collect depends on the specific services you require, such as:

  • Full Name
  • Telephone Number
  • Country and Nationality
  • Insurance Policy Number

We may share your information with third parties under the following conditions:

  • As required by law or law enforcement
  • With travel service providers (e.g., airlines, hotels) essential to fulfilling your booking

Your information will never be sold to third parties, and we only use it for the intended purpose. Once no longer needed, data will be securely deleted or stored in a way that prevents future use.

2. Booking Confirmation

A 20% deposit of the total booking price is required to confirm your reservation with CALM Adventure Tours. This deposit is non-refundable as it secures services with third-party providers, such as car rentals, guides, domestic flights and more. The remaining balance (80%) can be paid upon arrival or no later than 10 days prior to your departure.

3. Payment Options

We offer several payment options:

  • Wire Transfer: Details will be provided at the time of booking; transaction fees are the responsibility of the client. A deposit invoice is required as proof of payment.
  • Local Bank Checks: Checks from registered banks in Madagascar (BNI, BMOI, SG, BOA) are accepted upon arrival.
  • Cash in Foreign and Local Currency: We accept larger bills only (50-100 denominations, post-2013 and undamaged).

For bookings made within two weeks of departure, or for Day Tours/Excursions, full payment is required immediately. Full payment is also due 30 days in advance for multi-day packages that include flights or train tickets. Failure to complete payment by the due date may result in cancellation without refund.

4. Car Rental Services

All car rentals include a private driver, as traveling in Madagascar often requires skilled navigation. Our vehicles are clean, well-maintained, and equipped with hand sanitizers. Drivers are responsible for safe travel, vehicle maintenance, and general support. If any issues arise, we will replace the vehicle within 12 hours with one of equal or higher quality.

Fuel Policy: Fuel is not included in the rental price unless requested. The vehicle will be provided with a full tank and must be returned in the same condition.

5. Flights & Tickets

If domestic flights are part of your tour package, tickets will be issued once payment is received. You may also book flights independently and send us the ticket details. Note that flight schedules may change, and we recommend confirming departure times with the airline directly.

Unused flight tickets due to bad weather or strikes are non-refundable if you choose not to use them.

6. Trip Operation

While we aim to deliver services exactly as booked, the nature of adventure travel requires flexibility. Itineraries, schedules, and modes of transport may change due to local conditions. Any major adjustments will be made with the goal of providing an equivalent or better experience.

Compliance with local laws is required. CALM Adventure Tours is not liable for penalties or damages resulting from non-compliance.

7. Modifications to Services

Unused services due to a client’s choice to end the trip early, including for personal or health reasons, are non-refundable. In cases of force majeure (e.g., weather conditions), CALM Adventure Tours reserves the right to modify the itinerary to ensure traveler safety. Any costs incurred will be covered by the company.

8. Travel Insurance

We strongly recommend that travelers purchase travel insurance to cover potential trip cancellations, health issues, or other unforeseen circumstances. All medical expenses incurred during a tour are the responsibility of the traveler.

9. Claims & Complaints

All complaints should be directed to us, and we will work to ensure a safe and enjoyable experience. Refunds for unused services may be requested, but full refunds are not guaranteed, especially for certain ticketed services. CALM Adventure Tours is not liable for motion sickness or the weather conditions affecting specific tours, such as wildlife or whale-watching excursions.

10. Force Majeure

Circumstances beyond our control, including weather, pandemics, or government actions, may affect the fulfillment of our obligations. CALM Adventure Tours will not be held liable for cancellations due to force majeure. However, we will work to reschedule or alter bookings whenever possible.

11. Cancellations

If you need to cancel, please notify us in writing. Cancellation fees depend on when notice is received, as outlined below:

  • 60+ days before departure: 20% of total cost
  • 59-20 days before departure: 50% of total cost
  • 15-20 days or less before departure: 100% of total cost
